February 1, 2012 – the Conference is over, but please think ahead to 2013.

[VOLUNTEERS: In a hurry?..... please read everything on this page]

KERRY/VOLUNTEERS, is in the final stage of assigning the Conference volunteer jobs for 2012.  In other words, this is your last call. With 34 workshops + an expected full Expo, the last of the 80-100 volunteers handling the logistics of this show are now being called. Volunteering at the Guelph Conference can be a career opportunity.  You never know which of the traders or speakers might need an apprentice, trainée, short-term contractor, researcher, software writer, field assistant or even executive helper. So, don’t come to this show without a business card. WHAT?  I don’t have a business card. Well then, print them out on your colour printer for $10, bring 100 with you and give them out to the organic marketers you meet.  Guelph Organic Expo – land of opportunity and potentially a career !

Hello…….I am the Volunteer Co-ordinator for the 31st Annual Guelph Organic Conference.

I’m asking for YOUR HELP to deliver this Conference between Thursday, January 26 and Sunday, January 29, 2012.  Note: if you aren’t interested for yourself, perhaps you could pass along this Web Site and contact page to others who might be ready to help. If you’ve already contacted me to set up your volunteering duties, please read on and find out more about the Conference… and about the specific duties which we need to fill each year.

Firstly, I suggest you get a brochure from the Manager or download it off the front of this Web Site (BOTTOM LEFT OF WEB SITE FRONT PAGE), so you can check out the Conference schedule and workshop times.  You can also access the “Workshops (Overview)” – the drop-down menu found in the top-right corner of the Conference home page. Then, decide which days you can attendand let us know.

Unfortunately, we cannot provide car-pooling or billeting for the Conference due to prohibitive insurance costs. However, if a group of you decides to come at the same time, let me know and I will try to arrange compatible schedules.

Your volunteer commitment would normally consist of one or more of the following days:

FRIDAY:
If you volunteer on Friday during the day, a minimum of 3-3.5 hours is required. You may attend for free •the evening Keynote Forum and •any workshops that do not conflict with your volunteer schedule. If you volunteer just for the Keynote Forum on Friday evening, you will get into it for free.

FRIDAY ORGANIC FOOD & WINE DINNER:
Everyone must pay (and register beforehand to receive a numbered ticket) to attend the Organic Dinner. Cost of 1 Meet The Organic Dinner Ticket: $50 + HST.

SATURDAY:
If you volunteer on Saturday, you must do so for 3-3.5 hours. Then, you are free to attend any of the workshops that don’t conflict with your volunteer schedule.

SUNDAY:
If you volunteer on Sunday, you must do so for 2.5-3 hours. Then, you are free to attend any of the workshops that don’t conflict with your volunteer schedule.

Please browse this Web Site to see those workshops which you might be interested in attending/volunteering… and I will try to accommodate you.

Obviously, the sooner you reply, the more likely you will get the job you want.

If there are any physical limitations, please tell me and I’ll do my best to accommodate you. Also, if you have any special skills, let me know.

XXX   –   Here is a list of typical volunteer duties:

    • Workshop monitors: (check badges of guests, hand out evaluations, assist the presenters)
    • Registration desk: register guests, handle money
    • Coat check: this important task takes place just inside the door of UC103/Central Registration Room on the Main Level (south entrance) of the Guelph University Centre
    • Parking control/exhibitor unloading: must be able to be on-site at the Conference for approx 6:00 am on Saturday (Jan. 28) and be able to handle cold weather; this is a very important job because over 100 vehicles carrying exhibitor materials do show up in a very narrow 3-hour time-frame, starting at 6.00 am
    • Set up: must be able to be at Conference for approx 6:00 am on Saturday to help exhibitors set up for Trade Expo on both the Main Level and the Basement Level; this involves some carrying of materials but we strive to provide hand-carts
    • Tear Down: must be able to stay til about 6:00 pm on Sunday to help exhibitors tear down and load their vehicles at end of Trade Expo
    • Greeters: greet attendees on Saturday and Sunday morning and help guests with specific information and directions as they get set to register for Conference; also, greeters must be familiar with the Expo running both on the Main Level and the Basement Level of the University Centre building
    • ‘Gofers’ (runners for immediate tasks which arise:) be literally at my ‘beck & call’ (!) for your volunteer time and also be available to interview Trade Expo guest attendees using a brief survey which we provide
    • Keynote Forum: check tickets at the entrance to Thornbrough Auditorium (next to Guelph U.C.) on Friday evening
    • Executive Assistant to the Conference Manager: [CLOSED] – this volunteer job was only offered for a short time in November, 2010 and is now CLOSED, thanks to the response received from individuals strongly interested in the organic marketing sector, or who were considering a career in the organic food business.  A local volunteer from Backyard Bounty (Julianna) was chosen and she performed the Executive Asst. duties admirably.  She will be running around for the 2012 Conference fulfilling her duties.

I’m sure there is a myriad of other duties that will arise on demand, but the ones just listed are the basic set of annual jobs which we need filled.

It helps, when you are a volunteer, if you are a “people-person” – someone who can handle a busy job yet still keep a smile – this is retail, after all. It’s a pretty hectic 4-day event, certainly having its own slower periods but those moments would be your chance to liaise with your fellow volunteers and Conference guests.

We’ve noted that almost all the volunteers over the years have enjoyed themselves in these important jobs and have asked to be considered for future volunteer duties.

This Conference, Canada’s longest-running organic marketing event, is a great place to network with the many organic sector personnel who come from all over Canada and internationally, for a mid-winter organic experience. This is also a place to experience the latest market trends, see products in development and confront burning issues.  This is a growing field and you can be part of it.

Guests: when you are at the Conference in late January, be sure to say hello to all the volunteers running around making the event run like clockwork!

“The Past”  -  END OF CONFERENCE REPORT FROM JANUARY-2011, now history.

January 31. 2011 – the 2011 Conference is over and how could we have delivered such a smashing event without all the 100+ volunteers who scurried all over the place to be at our beck and call while helping the exhibitors and speakers ‘with a smile.’  Special thanks to Juliana, volunteer ‘Executive Assistant to the Mgr.’ who helped out with some on-the-spot management decisions in some very busy situations.  Stay tuned…

END OF CONFERENCE REPORT FROM JANUARY, 2010

January 31, 2010 - comments from the Conference Manager on the 2010 Conference, now just a happy distant memory: to all of the 90+ volunteers who set up the Expo, who helped carry in boxes, who got up at 6.45 am to register guests for workshops, who placed exhibitor forms and set up tables till 10.30 pm, etc., etc…… we could not have run the 2010 Conf. without you !  Thank you and we hope you volunteer for Kerry again for GENERATION ORGANIC in 2011.
